Sneak Preview: Propertyware Summer ‘08

The much anticipated Summer ‘08 edition of Propertyware is coming soon! Here is a sneak peek of our new features…


General Enhancements

  • Enhanced User Interface. We’ve made life easier for those of you with smaller monitors. The new Propertyware user interface is easier to navigate and includes the ability to collapse the sidebar for more screen real estate!
  • New Mail Merge Editor. We’ve improved the usability of the mail merge editor with a new feature rich version that makes formatting your documents easier than ever.

Desktop

  • Documents Backup. Download all uploaded documents to your local computer for backup purposes.
  • New Spotlight. The spotlight has been replaced with new animated charts that help you visualize the same information you have been accustomed to seeing on your Propertyware desktop. Drill down into the details of this data and view the source report.
  • Dashboards. Customizable dashboards provide instant access to the real-time information and analysis you need to run your business. Propertyware is the only online property management solution that allows you to easily monitor the critical metrics for managing your rentals in an easy to understand consolidated view. Get real-time visibility into all aspects of your Propertyware data with customizable dashboards. Transform any of your chart enabled reports into a dashlet on customizable dashboards. Your customizable dashboards can be publically viewed or restricted to specific users.
  • Alerts. Propertyware Summer ‘08 introduces several new real-time alerts throughout the application. All your alerts are now available from the Alerts page in the Desktop tab.

Properties

  • Faster Building Creation. The enhanced new building screen allows you to create units for multi-unit buildings with just one step. Simply enter the number of units in your building and the appropriate naming mechanism.
  • Publish Building Documents to Tenant Portal. Share building specific documents with your tenants by publishing to their tenant portals from the Notes and Documents section of any of your buildings.
  • For Sale Listings. This great new feature allows you to list any property “for rent” and/or “for sale.” Customers subscribing to the Propertyware Marketing and Portals modules will have a new “for sale” section on their website, while both rental and sale listings will be automatically syndicated to our network of free listing sites.
  • ePayment Convenience Fees by Portfolio. Designate a different eCheck and credit card convenience fee for each individual portfolio.

Marketing

  • New Prospect Types. You can now track more types of prospective customers for your business. Propertyware Summer ‘08 introduces owner, buyer and other prospect types in the Marketing module.
  • Charge Your Application Fees Online. An integration with Propertyware’s ePayments module now allows you to collect your application fees electronically from prospective tenants through your Propertyware portal.
  • Real-Time Tenant Screening. We are proud to announce this exciting new feature that allows you to screen your prospective tenant online, in real-time.
  • For Sale and For Rent Listing Types. Control your “for rent” and “for sale” listings from the Marketing module’s listings page. The new listing page allows you to control which listings will appear on your Propertyware Portal and even has an RSS feed for both listing types.
  • HTML Listing Snippets. List your properties on Craigslist, eBay, Backpage or other online destinations not included in our free listing partners network with this amazing new feature. The HTML snippet feature simplifies the process of creating well-organized ads that stand out from the crowd. Propertyware automatically creates a Craigslist compatible version of the listing.
  • Alerts. Propertyware Summer ‘08 introduces several new Marketing alerts including when a prospect has been assigned to a user and when it has been converted to a portfolio or a lease.
  • New Free Listing Partners. We’ve added PropSmart (www.propsmart.com) to our network of free listing partners.

Portals

  • New Free Design Templates. We’ve added more free portal design templates to choose from.
  • For Sale Listings. A new “for sale” section appears on your portal to position those units that have been published from the Listings section of the Marketing module.
  • New Website Developers Kit. Experienced designers will love this new feature. Download a .zip file for your site template and make modifications to the look and feel.
  • Listing RSS Feeds. Your rental and sales listings each have a RSS feed that can be used for widgets and RSS readers.
  • Secure Rental Application with ePayment Option. A prospective tenant can reserve their desired unit by paying an application fee online after filling out the new secure application form.

Maintenance

  • New Work Order Approvals. The work order approval has been enhanced to show who approved the work order, when it was approved and approval comments.
  • Faster Work Order Creation. We’ve optimized the location lookups on new work orders to automatically set the Requested By field to the primary contact on the lease attached to the unit.
  • Work Order Comments. This great new feature allows you to communicate with your tenants on the details of a work order. Create new comments on the work order and choose those comments you would like to publish to the Tenant Portal. Your tenant will receive an email alert when a comment has been published to their Tenant Portal.

Management

  • Simplified Summary Screen. The management summary screen has been simplified to make it easier to understand the breakdown of each portfolio’s finances.
  • Enhanced Management Fee Calculator. You can now create management fee bills by individual buildings. Improved support for 100% commission accounts will exclude these amounts in the management fee bill.
  • Post Owner Draws. Ability to post owner draws all at once using the default bank account on the Portfolio
  • Map Management Income. You can now map the income earned from bills paid to a management vendor to any income account. This great new feature allows you to analyze the sources of all management income in more detail.
  • Escrow Account Support. Flag any account as type “escrow” on the chart of accounts and then see the balance on the management summary page and management reports.
  • Owner Ledger. The owner contributions and draws tab on the Management Summary page has been consolidated into an Owner Ledger. From this Owner Ledger you can record owner contributions, draws and journal entries.
  • % Ownership of Portfolios. Propertyware Summer ‘08 introduces the ability to designate the percentage ownership for each owner attached to a portfolio. These percentages will be taken into consideration when generating owner draws.
  • Portfolio Minimum Replaces Operating Reserve. The operating reserve feature will be replaced with a portfolio minimum in Propertyware Summer ‘08. This new feature makes it easier to maintain a minimum balance on each portfolio to cover unexpected expenses.
  • Enhanced Date Pickers on Summary and Management Fee Calculator. The date pickers on the management summary and management calculator have been updated to resemble those found in the Reports tab.
  • Stored Management Fee Calculations. The details of your management fee calculations are stored on a new tab on the Management summary page. This stored calculation can also be included in your owner’s statement or management reports.
  • New Owners Statements. New version of owner’s statement leverages the Reports platform. Upload a logo and choose from several different versions including summary, detail and detail by building. Owner’s statements can now be scheduled and published online.
  • Pay Owners Electronically via eCheck. No more paper checks! This great new feature allows you to pay owners draws electronically via eCheck.

Tenant Portal

  • Publish Building Documents. This new feature allows you to publish documents attached to a building to the tenant portal. This enables you to easily share important building documents with all the tenants of your multi-unit buildings.
  • Conversations. We have introduced a feature that allows tenants to have conversations with your management team on open work orders and their lease. These conversations are summarized on the My Account page of the Tenant Portal.
  • New Alerts. Propertyware Summer ‘08 includes tons of new tenant portal alerts including:
    • Tenant Created an Account in the Tenant Portal
    • Tenant Made a Payment in the Tenant Portal
    • Tenant Gave Notice in the Tenant Portal
    • Tenant updated their information in the Tenant Portal
    • Tenant Signed up for Auto Payments in the Tenant Portal
  • Attachments on Service Request. Your tenants can now attach any type of document to a new service request submitted from their Tenant Portal. This is a great tool for tenants to attach a photo for damage to a property or other scenarios when you require them to share a sample image or document on the service request.
  • Print Tenant Ledger. Your tenants have the option to print their Tenant Ledger from within the Tenant Portal.

Money Out

  • Deactivate Vendors. This feature lets you deactivate those vendors of which you no longer do business.
  • New Filters for Vendor Bills. We added a smarter date filter for filtering the bills associated with an individual Vendor. A new filter also allows you to view paid vs. unpaid bills.
  • Designate Management Vendors. This feature allows you to designate any vendor as a management vendor. Propertyware will automatically create an equivalent income transaction to the management portfolio when bills are paid to these vendors with this optional flag set.
  • New Check Type. Safegaurd Triplicate version. This new check template can be selected for Propertyware’s setup.
  • New/Edit Bills and Auto Bills. The new/edit bills screen is no longer a popup window and has been optimized for faster performance.
  • Default Accounts for Vendors. Save time when entering new bills by setting a default expense account on each vendor.

Leases

  • Enhanced Late Fee Calculator. The new late fee calculator now calculates the late fee based on the total amount past due. The enhanced late fee calculator now runs automatically nightly.
  • New Late Fee Rule Options. You can now have the late fee calculated on the entire lease balance.
  • Lease Renewals. This new feature allows you to create a lease renewal from any lease in the system.
  • Lease Conversations. This fantastic new feature allows you to track all conversations between your management team and tenants as conversations with comments. When you publish a conversation or comment to your tenant portal, tenants are immediately notified with an email alert. If a tenant replies to a conversation in your tenant portal, your management team will be notified with an alert.
  • Scheduled Move Out Date. This new standard lease field lets you designate when the tenant has indicated they will be vacating the unit.

Reports

  • Sorting Order. This feature allows you to save up to three sort orders for your report.
  • Report Version Control. This new feature on reports will report you of new versions of standard Propertyware reports and allow you to install the latest version.
  • New Financial Reports. Propertyware Summer ‘08 introduces several new reports, including:
    • Balance Sheet Report
    • General Ledger Report
    • Schedule E

    We do daily backups for all customers, but this option allows you to have a local copy of all these files in your offices.
